Refund & Cancellation policy

This policy sets out the cancellation terms for each type of booking and forms part of our Terms and Conditions.

The terms vary depending on what you've booked, so start with the section that applies to you.


1. How to cancel

1.1. Write to us at admin@thesuncollective.art with your name, your booking number and what you had booked.

1.2. For calculating deadlines we take the date we receive your message.

1.3. If you're unsure before deciding, write to us anyway. Sometimes there are alternatives that don't appear in these tables and that may suit you better than cancelling.

1.4. Some experiences have their own cancellation terms, which we set out on the product page and in your confirmation. Where those differ from this policy, the product page prevails, as it holds the terms specific to what you've booked.

1.5. Those terms can never give you fewer rights than the law gives you, and those always apply.


2. Workshops and day activities

2.1. If you need to cancel

2.1.1. Changing the date depends on us having availability. If we can't find a date that works for you, the refund for your band applies.

2.1.2. With less than 48 hours' notice we can no longer reorganise the day or offer your place to someone else, which is why that band carries no refund. Even so, if we have availability on another date we'll offer it to you.

2.2. If you can't come

2.2.1. Let us know even at very short notice. It lets us reorganise the day and, when there's time, offer your place to someone else.

2.2.2. When we receive no notice at all and the place goes unfilled, no refund applies.

2.3. If you have to leave before the end

2.3.1. Please tell the team at the time.

2.3.2. The part of the activity you don't take doesn't give rise to a refund, since the experience has been provided and its cost is already committed.

2.3.3. This doesn't apply when you leave for a reason attributable to us. In that case we refund you the corresponding proportional amount.


3. Bookings with accommodation

3.1. How payments work

3.1.1. To reserve your place you authorise an amount of 100 euros. That amount isn't charged at that point but when we confirm your booking, and it forms part of the total price of the experience.

3.1.2. The balance is paid 90 days before the start date. We give you enough notice for you to plan for it.

3.1.3. Until that point you can cancel at no cost, as set out below.

3.2. If you need to cancel

3.2.1. Free cancellation runs to the same day we ask you for the balance. If you cancel within that period you get everything back, including the initial 100 euros.

3.2.2. From 29 days onwards the cost of the trip is fully committed and that band carries no refund. Even so, write to us and tell us your situation. Our team will look at it and work with you to find the best way forward within what's in our hands.

3.2.3. If you ask us, we'll explain in writing how the amount applied to your case was calculated.

3.3. Unavoidable and extraordinary circumstances

3.3.1. A serious situation outside both parties' control may arise at the destination or nearby, or affecting the carriage of passengers to the destination, making it impossible to run the trip normally. Airspace closures or a declared emergency on the island are examples.

3.3.2. In those cases you can cancel before the start with no penalty at all, and we refund everything you've paid.

3.3.3. This right applies in any band of the scale, including at 29 days or less, and also if you booked with a discount or within a promotion. It's a right recognised by law that we can't limit.

3.3.4. Personal circumstances fall outside this. Illness, a missed flight, a changed connection or a change of plans are governed by the scale in point 3.2. We're genuinely sorry when it happens, and cancellation insurance exists precisely for those situations.


4. If we cancel or change something

4.1. Workshops and day activities

4.1.1. Sometimes we have to suspend or cancel an activity, whether because of the weather, for safety reasons, or because the expected number of participants isn't reached.

4.1.2. When that happens you choose between a new date or a full refund of what you've paid.

4.1.3. If the activity has to be interrupted once it has started for safety reasons not attributable to you, we refund the proportional part you haven't taken or offer you a new date, whichever you prefer.

4.2. Bookings with accommodation

4.2.1. We don't cancel a trip for lack of participants. When a trip doesn't reach the expected numbers, we propose an adapted version that keeps the accommodation, the meals, the transport, the artistic guidance and any other element we had offered and has had to change.

4.2.2. As with any significant change, the decision is yours. You can accept the proposal, accept another alternative we offer, or cancel with no penalty and recover everything you've paid.

4.2.3. If the change were to mean a reduction in the quality or value of what you booked, you could be entitled to a price reduction.

4.2.4. If unavoidable and extraordinary circumstances prevented us from running the trip, we'll tell you without delay and refund everything you've paid. No additional compensation applies in that case.


5. When and how you get your money

5.1. Refunds are paid by the same method you used to pay.

5.2. We process them as soon as the cancellation is confirmed.

5.3. For bookings with accommodation we refund the amount due within a maximum of 14 calendar days from the date the booking is cancelled.

5.4. We apply the same timeframe to all other experiences.


6. Cancellation insurance

6.1. We recommend taking out travel insurance that includes cancellation cover.

6.2. It's the way to recover the cost of your booking when the reason you're cancelling is a personal one, such as illness or a family emergency.

6.3. Our policies cover our liability as a company and don't extend to those situations.


7. If you don't agree

7.1. Write to us and we'll review it with you.
